The engagement begins with department interviews and a review of documents, existing software, manual tracking, data entry and reporting needs. We identify who creates information and which approvals it passes through across ordering, purchasing, inventory, production, finance, sales or service operations.

The objective is not to move existing problems into new screens, but to identify repeated work, data gaps and control points. Process maps, user roles, core business rules, exceptions and acceptance criteria are documented. The first-release scope is prioritised from this analysis.

The ERP interface is designed around the tasks of managers, operational teams, field users and relevant partners. The records each role may see, actions they may perform and approvals they may give are defined explicitly. Dashboards, tables, filters, forms, notifications and statuses are structured through a shared design system.

UX/UI turns dense data and complex rules into understandable task flows. Responsive use, keyboard interaction, readability, accessibility and error prevention are considered for target users. Art Direction balances the organisation's visual identity with the clarity required for daily operations.

Ownership and relationships are defined for customer, product, service, inventory, supplier, employee, project, order and finance records. Shared rules are created for codes, statuses, units, categories and permission areas. The source of truth for each data type is agreed before integration design.

Data quality, duplicates, missing fields, historical records and retention periods form part of migration planning. Not every historical record necessarily needs to move. Cleansing, mapping, validation and approval responsibilities are shared explicitly between the client and delivery team.

Sales, quotation, ordering, purchasing, inventory, production, projects, requests, HR or finance modules are scoped according to organisational priorities. Record lifecycles, responsible roles, approval stages, notifications and exceptions are defined for each module. Real use takes priority over adding unnecessary functions beneath familiar module names.

Automation reduces repeated entry, produces timely notifications or applies defined rules. Control of critical decisions and financial outcomes remains with authorised users. Workflows are expected to change, so configuration and future development requirements are planned separately.

For accounting, e-invoicing, banking, e-commerce, CRM, warehouse, shipping, production equipment or other integrations, API coverage, data direction, synchronisation frequency and failure behaviour are reviewed. Identity, authorisation, activity logs and data ownership are defined for every connection.

Third-party licences, access, quotas, versions and approval processes remain separate dependencies. An integration name alone does not define scope; fields, triggers, retries and reconciliation methods are stated in the proposal. Manual fallback processes may also be planned for critical connections.

Reports are designed around the questions departments need to answer, data ownership and freshness requirements. Operational status, sales, inventory, purchasing, cost or project indicators may appear through role-based dashboards and detailed reports. Calculation definitions and filter meanings are documented consistently.

A dashboard cannot guarantee sound decisions without complete data and consistent business definitions. Exports, scheduled reports, alerts and visualisation are scoped according to need. Advanced analytics or AI is considered as a separate phase when sufficient validated data exists.

The test plan covers core processes, roles and permissions, calculations, integrations, notifications and failure scenarios. Sensitive data, access policies, activity records, backups and environment responsibilities are agreed before launch. Independent security or compliance review is scoped separately where required.

Migration uses sample imports, validation, reconciliation and rollback planning. Go-live may be a single event or phased by department and module. User acceptance testing, training materials, authorised users and the initial support model are defined in the rollout plan.

An ERP system changes with the organisation. Defect resolution, technical maintenance, user support, new reports, process changes and new modules are different work types. Product ownership, approval roles, change requests, release schedules and support hours are defined through a sustainable governance model.

Cost and timing depend on process count, roles, modules, migration, integrations, reports, security, testing, training and support. Licences, external services and independent audits are considered separately. No specific saving, efficiency improvement or commercial outcome is guaranteed.
